Job Description

You will be responsible for office administration and daily clerical duties including basic schedule planning, travel arrangements, documentation, and file maintenance. Other responsibilities include scheduling conferences/meeting rooms and responding to general inquiries. They create and maintain office documentation and files and review drafts and finished internal/external communication documents.


Description

  • Manage complex calendars with multiple time zones
  • Coordinate and arrange meetings and schedules; Manage staff level notes and follow up
  • Schedule conference calls, on-site/off-site meetings, telepresence meetings, and
  • Webcasts. Manage catering and reservations as needed
  • Arrange and coordinate complex domestic and international travel arrangements
  • Expense report review and timely submission
  • Create PowerPoint presentations; Type, edit and proofread documents and

Correspondence

  • Maintain organizational charts for the global teams
  • Maintain electronic records and SharePoint sites
  • Manage sensitive and proprietary information with discretion and confidentiality
  • Coordinate both internal and external communications
  • Team player - assist and provide coverage for other administrative assistants as needed
  • Support and track approvals for various internal workflows such as travel requests and
  • purchase requisitions
  • Must be able to prioritize and plan work activities to use time efficiently. Must be

organized, accurate, thorough, and able to monitor work for quality

What your background should look like:

Working experience minimum 3 years in an administrative capacity; large corporation executive assistant experience preferred

  • Must have outstanding written and verbal communication skills
  • Must have strong Outlook, Word, Excel and PowerPoint skills
  • Ability to work in a fast-paced environment while adapting to changing deadlines and priorities
  • Must be able to work independently, prioritize work and handle simultaneous assignments with success and accuracy
  • Detail-oriented with exemplary organization and communication skills
  • Strong PowerPoint presentation skills
  • Tech savvy with ability to research topics via the internet
  • Must be able to multitask and work well under pressure
