Job Description

The Human Resources Assistant is responsible for providing administrative assistance to the HR team and the SVP of Human Resources. This position provides assistance in recruitment, onboarding, credentialing, human resources information system (HRIS), benefits, compliance, and other general human resource functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepares and processes new hire and employee change paperwork and supplies in accordance with departmental standards. Enters data into HRIS system.
  • Maintains and audits files for staff, students, and volunteers. Ensures files are in compliance with departmental standards. Gathers and organizes requested information for all of the organization’s audits.
  • Assists HR team with preparing pre-hire paperwork and coordinates pre-hire orientation with new hires to ensure readiness for candidate’s first day. Works with IT Department to set up new hires within organization systems.
  • Assists with new hire orientation to new staff, students, contractors, and volunteers on organization policies and programs.
  • Assists the HR team with posting positions on job boards and external websites, resume/profile searches, and completing candidate references.
  • Gathers the supporting staff documentation from files and systems in response to programmatic and organizational audits.
  • Provides ongoing updates and maintenance to compliance tracking spreadsheets, the intranet, Training Databases, and the staff directory.
  • Responsible for maintaining and auditing staff I-9 records. Regularly reviews and purges records according to record retention requirements.
  • Verifies staff credentials with universities, licensing, and other institutions. Tracks and follows up with staff when licenses and certifications are outstanding and/or expire.
  • Processes and audits employee background checks at hire and annually.
  • Completes employment verifications for current and former employees and contractors.
  • Assists with auditing insurance and vendor invoices and submitting through the organization’s expense system for processing.
  • Assists the Credentialing Specialist with completion of required credentialing and privileging documents and entry into the tracking system.
  • Assists employees and supervisors with day-to-day policy, HRIS, and benefit questions and requests. Escalates to HR team and/or SVP of HR as needed.
  • Prepares responses to unemployment claims with appropriate documentation.
  • Assists the HR team and the SVP of HR with projects as they arise.
  • Recommends new approaches, policies and procedures to continually improve efficiency of the HR department and services performed.
  • Participates in developing department goals, objectives and systems.
  • Maintains compliance with federal, state and local employment and benefits laws and regulations.
  • Responsible for maintaining the highest level of integrity, professionalism, fairness, and confidentiality in all aspects of job performance.
  • Provides back-up coverage to the front desk staff with welcoming guests, vendors, and clients into the office.
  • Other duties as assigned.

EDUCATION and/or EXPERIENCE

High School diploma required. 1-2 years of human resources experience required. Excellent organizational, time management, communication and writing skills. Excellent administrative skills including knowledge and experience with computers and Microsoft Office programs. Ability to work independently.
