Job Description

We are seeking an Office Support Assistant to join their team! The OSA is responsible for managing the Career Services front desk, as well as providing information and referral on programs and services. The position performs a wide variety of general office support duties. Duties include data entry, mail handling, filing, composing routine correspondence, answering phones, greeting visitors, scheduling, and arranging simple events.


Responsibilities:


External and Internal Relations

  • Greets visitors and provides employers, faculty, and the public with information regarding programs, resources, and services
  • Answers external phone calls and directs inquiries correctly within the organization
  • Provides information for routine inquiries
  • Accepts and signs for deliveries
  • Screens, sorts, and distributes mail
  • Hires, trains, and supervises front desk student employees
  • Prepares student worker schedules for front desk coverage

Office Support

  • Ensures standard office machinery (e.g. phones, printers, copiers, and fax) is in working order
  • Supports scheduling efforts of individuals and meeting spaces
  • Assists with routine data entry requests
  • Handles the closing and opening of office/meeting spaces
  • Assists other administrative support personnel in efforts to manage office
  • Responsible for facility work orders
  • Process supply orders and maintaining inventory
  • Assists staff in preparing for meetings by providing handouts and note-taking required. Attends any training sessions (Human Resources, PeopleSoft, Workday, etc.) as applicable for enhancement of job-related skills

Communications Support

  • Assists in mass communications/mailings (includes mass email or database reports)
  • Prepares and maintains files in accordance with established guidelines and/or templates
  • Assists in outreach to external constituents, under direction of supervisor.
