Job Description

The Virtual Assistant will perform various secretarial duties and administrative services for the Chief Executive Officer, Chief Financial Officer and senior management. The candidate will serve as Corporate Secretary performing official duties as required. The candidate will attend the monthly Board of Directors meeting and record all board proceedings.


Essential Functions:

  • Manage the office area of the CEO, serving as administrator, secretary and receptionist.
  • Compose and direct written communication to various people, both outside and within the financial institution.
  • Process letters of technical and confidential nature.
  • Responsible for the physical flow of paperwork within the department, including filing, handling and dispersing incoming and outgoing mail, updating records, and compiling reports.
  • Take minutes at board of directors and executive committee meetings and all official meetings as needed. Acts as official custodian of minutes and all proxies assigned by members.
  • Arrange appointments and meetings as requested by persons within and outside the financial institution.
  • Screen telephone calls and visitors.
  • Work closely with federal examiners and outside independent auditors in their regular official examinations of the financial institution.
  • Other duties as assigned


Requirements:

  • High school diploma required, some college desired.
  • 5-7 years previous administrative assistance experience at the executive level.
  • Computer literate, including knowledge of Microsoft Office, Excel, Word and internet search.
  • Must be detail oriented with excellent follow up skills and the ability to multi-task.
  • Must maintain a high degree of confidentiality
  • Excellent oral and written communication skills
  • Ability to effectively interact with all levels of management.
  • Ability to work independently.
