Job Description

The Administrative Office Assistant will be responsible for supporting the Distribution Center Manager and Supervisors. This position will serve as a confidential assistant. Position will perform routine and extemporized office and administrative tasks as needed.


PRIMARY DUTIES AND RESPONSIBILITIES:

  • Assist with maintaining any facility changes due to COVID-19 guidelines
  • Maintain a safe, neat, and clean work area by adhering to safety regulations.
  • Receives calls and/or greets visitors, takes and relays messages, responds to requests for information; provides information or directs caller/visitor to appropriate individual.
  • Processes vendor invoices timely.
  • Prepares daily, weekly, or monthly reports as needed.
  • Maintains and/or creates necessary files or record keeping systems, to include sorting, labeling, filing, and retrieving documents, or other materials.
  • Provides clerical/administrative support to team as needed; duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Maintains calendars, schedules and coordinates appointments as needed.
  • Writes or drafts correspondences, reports, documents and/or other written materials.
  • Reviews incoming correspondence; initiates replies as appropriate; routes matters requiring action by staff or management and follows up to ensure actions are completed.
  • Reviews outgoing correspondences; edits written material for accuracy, format, and arrangement of material.
  • Records and/or transcribes minutes of meetings, hearings, dictation, dialogue, etc., and produces document in draft or final format in the absence of the HR Assistant.
  • Interacts with managers and leaders to prioritize and assist with the execution of multiple tasks and activities required to meet deadlines.
  • Prepare correspondence independently or from verbal instruction.
  • Performs special projects and other duties as assigned.

REQUIREMENTS FOR POSITION:

  • Ability to work in fast-paced, high-volume environment and meet deadlines.
  • Ability to work efficiently with minimal supervision.
  • Able to work both independently and within a team.
  • Knowledge of Internal Operating System(s) and Microsoft Office is necessary to perform job.
  • Administrative skills which must include excellent verbal and written communication skills.
  • Attention to detail, organizational, analytic, and problem-solving skills.
  • Ability to maintain high level of confidentiality.
  • Responsive to staff needs, including professionalism, respect and consideration of others.
  • Demonstrates flexibility and the ability to quickly adapt to change in the work environment.
  • Demonstrates accuracy and thoroughness and monitors work to ensure quality.
  • Mandatory overtime as required, which may include weekends.

EDUCATION & EXPERIENCE:

  • High School Diploma; Bachelor’s Degree preferred, but not required.
  • A high proficiency with Microsoft Office Programs and the ability to type 50+ wpm is required.
  • A minimum of 2 years of Clerical/Administrative experience and/or education is mandatory.
  • Bilingual strongly preferred.
