Job Description

We are seeking a detail-oriented and organized Administrative Assistant to join our team. As an Administrative Assistant, you will play a pivotal role in providing administrative support and contributing to the smooth functioning of our organization. Responsibilities:

  1. Administrative Support: Assist in daily administrative tasks, including scheduling appointments, managing calendars, and handling correspondence.
  2. Document Management: Organize and maintain digital and paper files, ensuring accurate record-keeping and easy retrieval.
  3. Communication: Interact with clients, vendors, and team members professionally and courteously through email, phone, and in-person communication.
  4. Data Entry: Accurately enter and update data in spreadsheets, databases, and other systems as needed.
  5. Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, and transportation, for team members as required.
  6. Meeting Coordination: Schedule and organize meetings, prepare meeting materials, and take minutes when necessary.
  7. Office Supplies: Monitor inventory and order office supplies as needed to ensure smooth office operations.
  8. Reception: Greet visitors, answer phone calls, and direct inquiries to the appropriate person or department.
  9. Event Support: Assist in planning and coordinating company events, workshops, and seminars.
  10. Ad-hoc Tasks: Provide support on special projects and tasks as assigned by management.

Requirements:

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Proven work experience as an Administrative Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and ability to multitask.
  • Professional demeanor and strong interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
