Job Description

Reporting directly to the Vice President of Institutional Advancement and supporting the entire Advancement Office, the Office Assistant will work as part of a highly collaborative team to ensure a welcoming, informative, and responsive office that meets the needs of both internal and external constituents in a timely, professional, and helpful manner.

Responsibilities and Duties:

  • Maintain the integrity of the donor database through updating contact information, uploading new information, and periodically cleaning up the database as required.
  • Asist in processing gifts into the Community appropriately and ensure thank you letters, and proper stewardship procedures are followed.
  • Generate donor list and reports as requested.
  • Provide general office assistance such as filing, mail merging, writing letters and working on spreadsheets.
  • Support event planning and day of activities.
  • Handle incoming correspondence and phone calls; take accurate messages, channel calls to the appropriate personnel, and respond to general inquiries.
  • Process invoices and reimbursement requests as necessary.
  • Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.
  • Other duties as assigned.

Job Requirements:

  • Associate degree
  • Minimum one-three years' experience in a fast-paced, high profile executive level office setting
  • Thorough knowledge of English grammar, punctuation, and spelling
  • Excellent computer skills, with experience using Microsoft Office Suite (Word, Outlook, PowerPoint and Excel)
  • Ability to handle highly confidential information in a professional and ethical manner

Preferred Qualifications

  • Exceptional interpersonal and organizational skills
  • Familiarity with Adobe Acrobat, Dropbox, and Google docs
  • Experience with database software andor database management
  • Organized with the ability to complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines
  • Ability to interact with various internal and external audiences
  • Maintain composure and professionalism in all situations
  • Understanding of the state's political and public higher education system
